Bid Information and Requirements

  • Bids and responses to Requests for Proposals must be submitted to the City Clerk's Office.
  • Formal bid Plans and Specifications are available only in hard copy form as detailed in the Notice Inviting Bids. For questions or to obtain Plans and Specifications on a Public Works project, please contact (626) 932-5575. Plans and Specs are NOT available at City Hall, unless otherwise stated.
  • There is no charge for downloading Request for Proposal documents, when available.
  • Requests for Information related to Bids and RFPs should be directed staff noted in the Bid or RFP document.
  • The City's solicitation of bids is an invitation to deal and not an offer of a contract; a legally binding contract will only be made when a purchase order is issued or following City Council approval.
  • The City does not maintain a master vendor list.
  • The City does not currently accept general requests for notification of future bidding opportunities.

  4. For the Activity Guide: What weight stock do you want on the cover and the text? Is this gloss or matte paper?
    1. Currently using: Self Cover Full Color on 80# 10% PCW Stitch & Trim to 8-3/8 x 10-7/8

  5. We need to know the stock for the Bill Inserts, Door Hangers, and Flyers. Also, what quantity are we bidding on? I see that it is 4/4 on the bill inserts. Is it the same for the Door Hangers and Flyers?
    1. Flyers, door hangers, overlays, etc., will vary in quantity and size each time they are requested, so we are asking a price per unit (each). If your organization or company has an alternative method of pricing the service, please include it in your proposal.

Answer:

  1. The number of Monrovia Today Newsletter publications on the RFP reflects the set number of residents, businesses, and facilities that need printed copies. However, flyers, door hangers, overlays, etc., will vary in quantity each time they are requested, which is why we are asking a price per unit (each). If your organization or company has an alternative method of pricing the service, please include it in your proposal. 

 


The City of Monrovia is soliciting Request for Proposals (RFP) from qualified consultants for the design and printing services of its residential magazine and recreation guide, Monrovia Today, and on-call graphic design and printing services for various external communication media. The Monrovia Today brochure serves two needs: 

  • Acquaint residents with upcoming meetings and events; and
  • Acquaint residents with community programs, classes, and services

The RFP document outlines the scope of work, selection process, and required proposal content. Proposals will be evaluated based on qualifications, experience, implementation plan, cost, and other criteria set forth in the RFP.
